Registration

General Information

Registration is mandatory for all participants involved in the event, including chairs, speakers, presenting authors, and others.

The presentation of an accepted Abstract or Symposium is guaranteed only if the presenting author for individual abstracts, and all chairs and speakers for symposia, are duly registered for the Congress by June 15th, 2025.
Each registration allows for the presentation of one (1) Abstract only.

Online Registration

Participation in the Congress requires completion of the online registration process via the official Congress Management System.

Users who already have an account (e.g., created for abstract submission or review) should log in using their existing credentials.

Registration Fees

Different registration fees apply for SINS Members, Non-Members, Under 35 SINS Members, and Under 35 Non-Members.

Online registration will close on September 4, 2025, at 11:59 PM (CEST).

Congress registration fees include:

  • Access to all Congress sessions, poster areas, and the exhibitors’ area
  • Congress kit
  • Abstract book (downloadable)
  • Participation in the Welcome Reception
  • Coffee breaks and lunches

Payment

The registration fees are owed upon registration and are payable within 7 days following submission of the online registration (but not later than September 4th, 2025). After filling in the online registration form, registrants will be able to select the preferred method of payment by credit card or bank transfer. Registration is considered completed after full payment is received.

Invoicing to Institutions/Organizations (including Italian Public Administration – PA)

Invoices are normally issued in the name of the individual participant within 15 days following the date of registration.

If you need the invoice to be issued to a private institution or organization, please select “Company / Business Client” under the “Client Tax Status” section in the registration form, and make sure to enter the name of the organization, the VAT number, and the SDI code (or PEC address).

INVOICING TO AN ITALIAN PUBLIC ADMINISTRATION (PA)

If you need the invoice to be issued to a public institution or university (PA) please select “Italian Public Administration (PA)” under the “Client Tax Status” section in the registration form, and make sure to enter the name of the organization.

⚠️ IMPORTANT ⚠️

To receive the invoice, the administrative office of the Public Administration (PA) must send an email to the congress secretariat at secretariat@sinsmeeting.com within 3 days from the registration date, providing an official order form (buono d’ordine) including full billing information, any applicable VAT exemption (with reference to the relevant Article), and the indication of the split payment regime, if applicable.

In case the invoice is issued to an Italian Public Administration (PA), the registration fee must be paid directly by the public administration to which the invoice is addressed, even if the participant is affiliated with that institution. Credit card payments or bank transfers from personal accounts are not allowed. Please ensure that bank transfer is selected as the payment method during online registration.

On Site Registration

Online registration will be available until September 4th, 2025, at 11:59 PM (CEST). After this deadline, participants will still be able to register on site throughout the entire duration of the Congress, during the opening hours of the registration desk. Please note that a processing fee will be added to the regular registration rates for all on-site registrations.

Cancellation and Substitution Policy

Refunds of registration fees will be granted for cancellations received before July 10th, 2025. A processing fee of €50 (plus 22% VAT) will be retained. No refunds will be issued for cancellations received after this date.

Substitutions of registered participants will be accepted until September 1st, 2025. Please note that no refund will be provided in the case of a substitution that results in a downgrade from the Over 35 category to the Under 35 category (for both SINS members and non-members). In the case of an upgrade from the Under 35 to the Over 35 category, the fee difference must be paid.

All cancellation or substitution requests must be submitted in writing via email to the Organizing Secretariat at secretariat@sinsmeeting.com.

Please note that for substitutions, the updating of participant names in printed congress materials (such as the final program) is not guaranteed.

Accessibility Notice

Please note that, due to its historical nature, Teatro Verdi in Pisa has certain architectural constraints that may limit access to some areas of the venue. While every effort will be made to accommodate all attendees, the structure of the building may present challenges for individuals with reduced mobility or other specific needs.

Participants requiring assistance or with particular accessibility requests (e.g., wheelchair access, personal assistance, adapted seating) are kindly encouraged to contact the Organizing Secretariat as early as possible at secretariat@sinsmeeting.com. This will allow us to evaluate individual needs and make the necessary arrangements to ensure an inclusive experience for all.

Video & Photography Consent

Please note that photography and/or video recording will take place during SINS 2025.

By registering for the Congress, you give your consent to be photographed and/or filmed by the official photographer, SINS, and LAAN (our Professional Congress Organizing Secretariat). The images and recordings may be used worldwide, in any and all media formats — including but not limited to printed publications, presentations, promotional materials, and online content — either in their original form or edited.
